Filing of financial statements by email no longer possible after year end
A company may file its financial statements with the Trade Register online using the Business Information System service. Filing by email will be accepted until the end of the year.
The Trade Register will not accept financial statements by email after the end of this year. Financial statements may be filed online in the Business Information System after logging in with a Finnish personal identification number and either personal online banking codes, mobile authentication or an ID card containing a chip (HST card).
A financial statement filing in the Business Information System may be signed by a board member, chairperson or CEO of a limited company, the partner of a partnership, the general partner of a limited partnership, or a sole trader.
The Finnish Patent and Registration Office reminds companies that housing companies and mutual real estate companies do not need to file their financial statements with the Trade Register. A sole trader does not usually need to file his or her financial statements with the trade register.
A company’s accountant can prepare the financial statement filing without a mandate and then ask the signatory to log in to the Business Information Service to sign the filing.
Mandate not possible on Suomi.fi
A company may grant a mandate to a third party to make and sign notifications on behalf of the company in the Business Information System. Mandates are granted in the Business Information System. The Suomi.fi mandate service may not be used to grant mandates.
Mandates may only be granted to natural persons. After this, the mandated person can sign all the company’s Trade Register notifications. For example, a company may not mandate an accountant to sign only the financial statement notifications to the Trade Register. The person granting the mandate must have the right to sign the company’s Trade Register notifications.
